Duties include:

  • Provide a high level of customer service in consulting with and guiding leaders with volunteer opportunities, policies, and processes.
  • Provide a high level of customer service in communication with volunteer opportunity applicants.
  • Work with Volunteer Services Orientation Manager to ensure compliance with chapter on-boarding policy.
  • Create and develop policies and procedures for various Volunteer recognition programs.
  • Collaborate with other Volunteer Services and Membership team members to help create “best of” practices and programs to ensure volunteer corps and chapter growth.
  • Assist with development of new volunteer training, leadership development, and succession programs.

Overview

 

Study Groups for PMP/CAPM Exam Prep plays a vital role to an individual who chooses self-study to prepare for the PMP/CAPM Exam.

 

The facilitator of a study group will acts as a leader and coordinator of group activities, but is not an instructor. This person takes the responsibility for submitting paperwork for study group approval, recording attendance, coordinating study group meeting logs and scheduling and communicating with the group members. In addition the facilitator should take an active role in the study group in the following ways:

1.   Promote a positive reflective atmosphere in the group.

2.   Encourage participation by all in group discussions.

3.   Encourage all members to keep notes of group perceptions and realizations.

4.   Restate positions and observations of group members as needed.

5.   Promote follow-up activities as appropriate.

6.   Provide group leadership as needed without dominating group processes

·         Work with the Judging Panel Coordinator to decide the winner of the POY award.

Job Title: Phoenix PDM Registration Manager

Job Description: The Phoenix PDM (Professional Development Meeting) Registration Team is currently looking for a volunteer who is willing to be part of our PDM registration process under the leadership of our PDM Registration Director, Julia Bethea.  The team's primary activity will center on the registration table activity at the PDM meetings, however, there are many other aspects of the registration process which will make being part of the Registration Team a dynamic, fun and rewarding experience.  If you like people, this volunteer opportunity may be perfect for you!   This position is for the Phoenix PDM only.

Note: This position is of high-visibility to the Chapter and due to the responsibility of this position and the importance of the PDM as a source of revenue for the Chapter, it is imperative that the PDM Registration Managers be of the highest caliber in terms of trustworthiness and integrity.

Duties may include:

  • Greeting members and guests as they arrive,
  • Answering questions and offering assistance, e.g., orientating first time attendees,
  • Working closely with our 3rd party vendors, e.g., Kinkos and PostNet,
  • Preparing and/or printing the attendee list,
  • Creating and/or handing out name badges,
  • Signing in non-registered attendees,
  • Handing out any flyers or PDU information sheets,
  • Counting the receipts and closing the books,

The Vendor Relationship Manager helps ensure that vendor workshop offerings run smoothly and that the highest level of customer satisfaction is delivered. Conducts proposal preparation; negotiate, co -ordinates customer fact-finding, contract administration and closeout activities related to assigned contracts

 

Performs contract administration with Workshop Training Providers

 

Reviews documents on assigned contracts for acceptability, including terms and conditions, scope of work and other requirements.

The PMI Phoenix Chapter Operations Team supports all non-financial reporting, chapter process documentation, asset management, logistical misc. functions, chapter elections, as well as Leader and Leadership initiatives.

The FAQ Manager will be responsible for documenting and maintaining the Frequently Asked Questions posed to the PMI Phoenix Chapter leadership team by the membership.  The FAQ Manager will also be responsible for responding to questions submitted by the membership.

This responsibility will be shared by two FAQ Managers who will co-manage the FAQ program.

Roles and Responsibilities:

·         Communicate with Chapter leaders to identify recent FAQs

·         Document FAQs in a user-friendly manner

·         Maintain the FAQs, adding new questions and removing or modifying outdated responses

·         Respond to questions submitted by the members to the FAQ Managers

eBlast Coordinator Manager assists VP of Professional Development, AVP of Professional Development, Director of Workshop Management, Director of Training in scheduling, planning, and execution of email blasts for workshops offered through the PMI Phoenix Chapter.

Coordinate all aspects of execution and reporting of assigned digital marketing email blasts including set-up, testing, deployment, and monitoring
Ensure orders received from Chapter and vendors contain all necessary components and that the email blasts are compliant with Chapter policies

Work closely with a team to ensure workflow efficiency

Attends monthly status teleconference meeting with team

Sends monthly status reports to VP of Membership

Overview:

The PMI Phoenix Chapter Financial Liaison Manager supports the directives and goals of the chapter by supporting one of eight core chapter teams to ensure that all financial activity is reported to Finance Team in a proper and timely manner. Each Financial Liaison Manage reports  to one of the following the VP of Communications, VP of External Relations, VP of Membership, President-Elect (Operations), VP of PMO, VP of Programs, OR VP of Professional Development with dotted line reporting to Finance.

Roles and Responsibilities:

This position will work with the VP or a designated AVP of the home team to ensure all financial activity within that team has been properly and timely delivered to the VP of Finance. The key deliverables will be:

·         Assistance in working with the team in compiling the teams’ annual Budget.

o    This should be completed by 01/31/2010

o    Changes to the budget need to be submitted the month of the change.

·         Ensure that all Expense Reports are signed off on by the Financial Liaison and the AVP/VP and electrically sent to the VP of Finance on a regular basis.

o    All expense reports for events that occurred during the month need to be sent no later than the last day of the month of the event.

·         Ensure all expenses for any event are electronically sent to the VP of Finance.

o    Many of our vendors are already sending invoices but this deliverable also applies to other expenses such as advertising, awards, books etc. that are applicable to the event.

o    These expenses must also be signed off by both the AVP/VP and the Financial Liaison.

·         Ensure that all revenue streams are either properly recorded in Cvent or properly noted with a Sales Transaction register.

o    The revenue stream should be signed by both partied before being sent to the VP of Finance.

§  In this way the teams have a complete record of all those that attended and the amount they paid for the event as well as the source of the revenue. This information should be sent to the VP of Finance no later than three days after the event.

  • Maintain and develop policies and procedures for Volunteer Recognition Program.
  • Initiate Volunteer of the Month process soliciting Board of Directors for nominations.
  • Initiate Volunteer of the Year process soliciting Board of Directors for nominations.
  • Prepare Award Volunteer recognition certificates, e.g., PDUs, time-measured awards, non time-measured awards.
  • Support Special Events Team (Programs) on Volunteer Awards for Annual Awards Dinner.
  • Generate Letters of Appreciation to employers for volunteer efforts.
  • Ensure Volunteer award communiqués are sent for public posting recognition to PMI website, newsletter, team leaders, etc.
