Overview:

The PMI Phoenix Chapter Financial Liaison Manager supports the directives and goals of the chapter by supporting one of eight core chapter teams ensuring that all financial activity within the designated team is reported to the VP of Finance weekly or semi-monthly. Each Financial Liaison Manage reports to one of the following the VP of Communications, VP of External Relations, VP of Membership, President-Elect (Operations), VP of PMO, VP of Programs, OR VP of Professional Development with dotted line reporting to Finance.

Roles and Responsibilities:

This position will work with the VP or a designated AVP of their home team to ensure all financial activities within that team have been properly and timely delivered to the VP of Finance. The key deliverables will be:

·         Assistance in working with the team in compiling the teams’ annual Budget.

o    This should be completed every year by November 30th

o    Changes to any budgeted items need to be submitted at least one month prior for a board decision.

·         Ensure that all Expense Reports are signed off on by the Financial Liaison and the AVP/VP and electrically sent to the VP of Finance on a regular basis.

o    All expense reports for events that occurred during the month need to be sent no later than the last day of the month of the event.

·         Ensure all expenses for any event are electronically sent to the VP of Finance.

o    Many of our vendors are already sending invoices but this deliverable also applies to other expenses such as advertising, awards, books etc. that are applicable to the event.

o    These expenses must also be signed off by both the AVP/VP and the Financial Liaison.

Study Groups for PMP/CAPM Exam Prep plays a vital role to an individual who chooses self-study to prepare for the PMP/CAPM Exam.

 

The facilitator of a study group will acts as a leader and coordinator of group activities, but is not an instructor. This person takes the responsibility for submitting paperwork for study group approval, recording attendance, coordinating study group meeting logs and scheduling and communicating with the group members. In addition the facilitator should take an active role in the study group in the following ways:

1.   Promote a positive reflective atmosphere in the group.

2.   Encourage participation by all in group discussions.

3.   Encourage all members to keep notes of group perceptions and realizations.

4.   Restate positions and observations of group members as needed.

5.   Promote follow-up activities as appropriate.

Roles and Responsibilities:

Conducts proposal preparation; negotiate, co -ordinates customer fact-finding, contract administration and closeout activities related to assigned contracts

 

Performs contract administration with Workshop Training Providers

 

Reviews documents on assigned contracts for acceptability, including terms and conditions, scope of work and other requirements.

 

Reviews, monitors and processes correspondence to and from customers and coordinates the submission of periodic reports.

The Master Calendar Manager is the person responsible for managing the Professional Development Master Calendar of workshop opportunities. It is the goal of Professional Development to provide between 100-200 PDU opportunities a year for the members.  The Master Calendar is the staging tool to make final workshop assignment dates that get transferred to the public PMI Phoenix Chapter website.

·         Inputs vendor workshop information and three preference dates on the Professional Development Master Calendar

·         Assesses workshop content and ensures opportunities are spread out across the month when selecting final workshop date

·         Communicates final date to Vendor (copies Vendor Relationship Manager, and Contract Administrator)

·         Updates Professional Development Master Calendar with final date and removes other two preference dates

·         Performs miscellaneous duties as required

  • Direct the delivery of a program of membership development in accordance with the chapter’s strategic plan and following the guidelines established by PMI Phoenix Chapter as well as PMI GOC scorecard

eBlast Coordinator Manager assists VP of Professional Development, AVP of Professional Development, Director of Workshop Management, Director of Training in scheduling, planning, and execution of email blasts for workshops offered through the PMI Phoenix Chapter.

Coordinate all aspects of execution and reporting of assigned digital marketing email blasts including set-up, testing, deployment, and monitoring
Ensure orders received from Chapter and vendors contain all necessary components and that the email blasts are compliant with Chapter policies

Overview:

The PMI Phoenix Chapter Volunteer Services Team supports the directives and goals of the chapter by supporting coordination of all programs encompassing chapter volunteers. The Volunteer Recognition Co-Manager manages and oversees the Chapter Recognition Program.  This position reports to the Director of Volunteer Services.

Roles and Responsibilities:

  • Maintain and develop policies and procedures for Volunteer Recognition Program.
  • Initiate Volunteer of the Month process soliciting Board of Directors for nominations.
  • Initiate Volunteer of the Year process soliciting Board of Directors for nominations.
  • Prepare Award Volunteer recognition certificates, e.g., PDUs, time-measured awards, non time-measured awards.
  • Support Special Events Team (Programs) on Volunteer Awards for Annual Awards Dinner.
  • Generate Letters of Appreciation to employers for volunteer efforts.
  • Ensure Volunteer award communiqués are sent for public posting recognition to PMI website, newsletter, team leaders, etc.

Attends monthly status teleconference meeting with team

Sends monthly status reports to Director of Volunteer Services

Overview:

The PMI Phoenix Chapter Member Services Team supports the directives and goals of the chapter by supporting New Member Orientation Program, Member Attraction and Retention Program, Member Recognition Program, Member Ambassador Program, and CCR/Designation Program. The Membership Retention Manager sends out PMI membership reminder letters, conducts surveys of terminating chapter members, works with Survey and Statistics Teams to coordinate collection of metrics.  The Membership Retention Manager reports to the Director of Member Services.

Roles and Responsibilities:

Assists Director of Member Services in the creation and updating of PMI Phoenix Chapter Annual Membership Retention Plan

Sends out membership renewal reminder letters to members

Conducts termination surveys with non-renewing members working with chapter Survey Team

Works with chapter Survey and Statistics Teams to collect member data

Overview:

The PMI Phoenix Chapter Professional Development Team supports the directives and goals of the chapter by providing PMI Phoenix Chapter members and the project management community at large a variety professional designation courses certification (PMP, CAPM, etc) as well as professional development workshops to maintain project management excellence. The Location Manager is responsible for workshop facility management.   The Location Manager reports to the Director of Workshop Management.

 

Roles and Responsibilities:

 

Collaborates with the Professional Development Vendor Relationship Manager or, if required, the vendor (course provider) to identify the needs for workshop space.

 

Completes Reservation Request Forms based on Vendor needs.

 

Reserve facility space for PMI Phoenix Chapter workshops to include (if applicable): chairs & tables, internet access, overhead projector, easels, pens & paper, and any “other” items deemed necessary for an effective learning environment.

 

Obtain online maps to facility and distribute as requested to registered learning participants and course provider.

 

Arrange for coffee/tea service access (if needed).

 

Manage logistical issues around locations to ensure an effective classroom environment.

 

Handle special needs requests as required, as well as any desired changes to the location prior to the workshop date(s).

 

Updates and maintains the Facility Reservation Calendar in SharePoint.

 

Updates and ensures all signed rental agreements are submitted and stored to SharePoint. Role may expand to include other location based requests in support of the Professional Development Charter.

Overview:

The PMI Phoenix Chapter Professional Development Team supports the directives and goals of the chapter by providing PMI Phoenix Chapter members and the project management community at large a variety professional designation courses certification (PMP, CAPM, etc) as well as development workshops to maintain project management excellence.. The Director oversees Member Services Team, team metrics/reporting/surveys. The PMP Exam Prep Instructor reports to the Director of Chapter Sponsored Education.

 

The PMI Phoenix Chapter offers a 6-week PMP Exam Prep Course to assist Project Managers that meet the eligibility criteria in obtaining the PMP Certification to pass the PMP examination. The course provides attendees with practical, skill enhancing tips and techniques that can be applied to the work environment.

Roles and Responsibilities:

  • Participates on Instructor Team to teach material from PMI Phoenix Chapter curriculum on a rotational basis teaching 1 or 2 classes per 6 week course session.
  • Participates in chapter retention initiatives by providing regular, accurate, and timely feedback to attendees and the chapter concerning academics, behavior, attendance, etc.
  • Maintains expertise in subject area and recommends improvements in curriculum design.
  • Complete sign-in sheets and the trainer feedback form for each workshop
  • Arrive early for workshops, adhere with presentation schedule, and stay afterwards to answer trainee's questions
  • As an instructor, appear professional in dress and manner
  • Share the mission of the chapter

Requirements:

  • Be familiar with the PMBOK competencies and know how to utilize them when designing workshops
  • Be actively involved in the process of becoming culturally competent and develop the knowledge and skills to include relevant PMBOK concepts 
  • Skilled in relationship management and problem solving

The PMI Phoenix Chapter Operations Team supports all non-financial reporting, chapter process documentation, asset management, statistics and metrics, surveys, chapter elections, as well as Leader and Leadership initiatives.

 

The Core Infrastructure Team is responsible for managing the documentation for new and terming volunteers for the BoD, Operations team, and all other teams in the Phoenix Chapter of PMI. The Team will work closely with Communications and Membership – Volunteer Services teams.

 

The Core Infrastructure Documentation Manager reports to the Core Infrastructure Director who reports to Operations (President Elect/Secretary).

 

 

General Core Infrastructure Shared TEAM Roles and Responsibilities:

·         Responsible for administration of start-up, movement and termination documentation and systems access including Org charts, master volunteer roster, Sharepoint, Affiniscape and Cvent.

·         Obtaining Bio information for new volunteers and ensuring Bio information is up-to-date (http://www.phx-pmi.org/displayboard.cfm) (PMI Member ONLY)

·         Email alias lists for all Chapter volunteer teams (PMI Member ONLY)

·         Submitting change requests to Communications team for password access, chapter website administration, etc (PMI Member ONLY)

·         Manage and track new volunteer/BoD leader appointments requests

·         Maintain the Operations team Roster in Sharepoint
